Office Policies

Appointment policies

There is a $50.00 charge for missed appointments. To avoid this charge please call ahead of time to reschedule or cancel your appointment.

 

If you are more than 15 minutes late to a well check appointment, you will be asked to reschedule. If you miss three appointments you will be asked to transfer to another doctor.

 

 

Vaccination records

We encourage you to keep a copy of the most current vaccination record for your child/children. If you would like to request a copy of your child's vaccine record please call the front desk at 512-328-BUZZ.

Our staff will be able to facilitate a transfer via mail, fax, or in person. We can usually have School Forms, Camp Forms, Day Care Forms, etc completed and signed by the physician the same day. However, during high volume peak times such as summer and the beginning of the school year, please allow 24 to 48 hours.

 

 

Medical Records
There is a $25.00 charge for copies of medical records in accordance with the Texas State Board of Medical Examiners. This fee must be paid prior to the release of records. Please allow two weeks to process your request. All original medical records are property of Bee Caves Pediatrics, P.A. and only copies will be given. 

If you would like to request a copy of your child's shot record or for us to send a form with the physician’s signature, you may call the front desk at 512-328-BUZZ. Please click here to download our medical records release form.

Please be sure to include the child's name, date of birth, the fax number you would like the record to be sent, and a contact number for you.
 


Payment Policy 
Payment is due at the time of service. Please click here to see our Financial Policy. 
 
As a courtesy to our patients we have enrolled in several managed care programs. In doing this, we agree to file insurance claims and take the contracted rates from your insurance company; however, we do not take responsibility for items that are not covered by your individual plan.  We recommend that you always question the insurance company regarding your benefits and do not assume that everything done in the physician’s office is covered.

Bee Caves Pediatrics will NOT file any claims for patients without an insurance card.  You can request your insurance company to fax or provide you with documentation of insurance coverage that includes billing information. You will need to provide this information every time you change insurance companies, as we will not be responsible for any denied claims due to filing deadlines if information was not given at the time of service.  
 
It is advised that all patients verify that we are network providers with their insurance carriers, and through which lab your insurance is contracted.
 
Bee Caves Pediatrics cannot be involved in payment disputes between parents.  The person who brings the child into the office will be expected to pay at the time of service and retrieve any payment from the responsible party.
